This role is an excellent first step into the world of artistic administration.

Production Assistant Trainee

You will support the Associate Producers with administration-related work in the run up to and during their busy summer opera season, which runs from 28 May to 10 August 2024. 

The Production Assistant Trainee supports the small production team to prepare for the forthcoming season, ensuring the smooth set-up and day-to-day running of rehearsals and performances, and assisting with the administration involved.
Some days will be in the main office near Earls Court; some days at the theatre in Holland Park or in rehearsals out and about depending upon what is required. 

This is a busy and varied role with occasional conflicting prioritise and tight turnaround on some tasks. You will need to be able to juggle a range of tasks from different people and working to a deadline. Some days will involve lifting boxes and moving items of furniture, and other days will be more desk-based. 

Job Responsibilities

  • Assisting with the collation and distribution of information ahead of the season, including artist measurements, biographies, headshots, contact details, ticket requests, advance schedules etc.
  • Booking accommodation, flights, other transport including taxis, vans, couriers etc.
  • Creating purchase orders, processing invoices and ensuring all seasonal staff and artists are paid in a timely manner
  • Proof-reading programmes, surtitles and other documents
  • Responding to general enquiries, including unsolicited emails
  • Updating and maintaining accurate records in our Diese contact, planning and scheduling software
  • Photocopying and scanning music, creating and distributing scores, parts and musical material as necessary
  • Processing expenses and receipts from all backstage departments
  • Looking after the keys for the main OHP prop store, giving access, and keeping track of loaned props etc.
  • Minuting meetings.
  • Assisting with setting up backstage
