Job Overview

TITLE: Projects Co-Ordinator
CORE ROLE TYPE: Arts & Business Administration
LINE MANAGER: Kayt Button, Unit Twenty Three Operations Manager
HOURS: Initially 24 hours per week across a minimum of 3 days Mon-Fri. Evening & Weekend working will be required from time to time based on projects.
SALARY: Depending on experience, in the region of £16,640 pro rata per year + Projects Overtime available
DEADLINE: 12pm on Wednesday 23rd November 2016
INTERVIEWS: Wednesday 30th November 2016 at Unit Twenty Three, Diss Business Hub.
STARTING: As soon as possible depending on notice period. By 3rd January 2017.

Job description

The Projects Co-Ordinator will drive forward our projects in all aspects, from creative programming to marketing & administration. In some cases you will support external project managers and in others you will take control. The role requires someone who is passionate about the meaningful involvement of young people & the community in their work, who enjoys creative challenges and can co-ordinate multiple partners to see an event or activity achieve success.

You will be a part of leading the development of Dissfest', our Young Associates Project, Freefall (our touring theatre with/for young carers) and a number of other new developments including youth voice forums and music events. Excellent organisational and communication skills are required along with a good knowledge of MS Office and using social media to engage with others.

This post would suit someone with some experience post university – ideally having studied a performing arts (practical) or business related degree. We're also keen to hear from those who have completed a business or community arts apprenticeship. Experience in supporting the delivery of events or theatre productions is vital.

You will get involved in the planning & delivery of projects from inception to evaluation and we welcome new ideas in addition to working on our current activity. Some experience or willingness to "sell" the value of arts projects & young people's involvement will be vital.

The breakdown of responsibilities includes:

Project development & delivery

  • Setting aims & objectives for projects
  • Sourcing and managing appropriate staff & artists
  • Liaising with venues, partners and sponsors
  • Risk assessing activity
  • Facilitating young people's involvement & community engagement in all projects
  • Supporting the collection of evaluation materials

Finance

  • Recording transactions and ensuring all expenses, bills and income is logged.
  • Sending Invoices to participant organisations.

Marketing & Publicity

  • Writing press releases and gaining editorials about our work
  • Contributing to our social network platforms
  • Ensure our website is kept up to date
  • Write and send newsletters out to subscribers

Funding

  • Source different funding pots applicable to Unit Twenty Three projects
  • Contribute to funding applications
  • Support evaluations and help report back to funders about project outcomes

Management/ General

  • Maintain a clean & safe environment in which to work
  • Communicate with project partners, commissioners and funders about project progress

Person specification

Essential

  • Experience working in an office environment
  • A demonstrable interest & passion for the arts & young people
  • Excellent written and verbal communication skills
  • Self-motivated and can work off own initiative
  • Experience with Office Computer Software (Word, Excel & Powerpoint)
  • Experience with Social Media
  • Ability to managing financial records
  • Experience of working on projects or live events
  • Experience of marketing or promotion activity (designing or distributing physical & digital literature)

Desirable

  • Be willing to progress your career and attend relevant training
  • Experience of gaining funding within the arts, cultural, heritage sector
  • Experience of managing budgets
  • Experience of working remotely with teams
  • Full clean driving license & access to own transport
  • Local knowledge of arts or youth organisations
  • Knowledge of the Arts Award Programme, especially as a trained adviser Bronze-Gold levels

Additional Points

The appointment will be made subject to a satisfactory clearance with an Enhanced Criminal Records Bureau check.

We envisage the role growing and continuing long term but there will be a 3 month probationary period and an initial fixed term contract to August 2017. We also envisage needing to grow the capacity to deliver projects and we will consider increasing your basic hours if appropriate before appointing additional staff members.
